Perform daily administrative support functions for Industrial Security Headquarters staff, including answering phones, greeting visitors, processing routine correspondence, and other tasks as required.
Primary Duties and Responsibilities:
- Perform daily administrative support functions for IS staff, including answering phones, greeting visitors, and processing routine correspondence
- Manage paper and electronic file systems, ensuring records are properly labeled, archived, and retrieved in accordance with policy
- Support onboarding/offboarding by tracking employee in/out-processing checklists, asset hand-offs, and training assignments
- Assist with time and attendance reporting and support managers with payroll/timecard corrections
- Initiate travel authorizations and vouchers in DTS; assist with travel documentation and tracking of itineraries
- Monitor and track incoming and outgoing taskers, action items, and deadlines
- Draft, review, and format standard memos, emails, reports, and PowerPoint presentations for staff use
- Manage office supply ordering, accountable equipment inventories, and conference room scheduling
- Sort and deliver mail and packages; coordinate FedEx/USPS/UPS services as needed
Required Qualifications:
- High school diploma or equivalent
- 2+ years of experience in general office administration, records, or operations support
- Must hold an active TS/SCI clearance
- Basic proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong attention to detail, customer service skills, and willingness to support evolving administrative needs
