Job Description:
The Operations Officer (OPSO)/Administrative Specialist is responsible for supporting a General Officer and other Senior Staff members in managing their day-to-day operations in the Operations Support Strategy Branch, Deputy Commandant for Information (DC I), Information Intelligence Division (IID). The OPSO will be responsible for calendar management/scheduling and deconfliction, as well as perform as an office manager.
Primary Duties and Responsibilities:
Act as an internal coordinator and task manager.
Act as an advisor to the Senior leadership, the OPSO will keep leadership informed of potential calendar conflicts, late assignments, or leadership requirements for pending requirements.
Provide administrative support to senior staff including scheduling meetings, managing calendars, and coordinating travel arrangements.
Prepare reports, presentations, and correspondence for internal and external distribution.
Maintain organized filing systems and databases to ensure efficient document management.
Reference quality assurance experience while providing support.
Review and revise documents for grammar, clarity, consistency, and adherence to organizational standard.
Conduct quality checks on documentation to ensure accuracy and compliance with regulatory requirements.
Required Qualifications:
Active TS/SCI clearance; eligible for CAP/SAP/STO access.
Expert in Microsoft Office tools.
Use of Scaled Agile Framework (SAFe) style of task tracking through Microsoft O365, Confluence/JIRA, or similar application.
Strong interpersonal skills and organizational skills.
Must have general understanding of executive support requirements.
Experience working within broad guidelines and policies and subsequently explain complex, difficult and/or sensitive information to wide audience with wide-ranging levels of experience from none to expert.
Must be good at working within a team to achieve a common end and working with often vague tasking environment.
Education Requirements:
Bachelor's degree from an accredited institution
Physical and Environmental Conditions: Requires Sitting (66%), Standing (15%), Walking (15%), Near Acuity (100%), Speaking (100%), Listening (100%), Sight (100%), Use of fingers and hands (100%), Travel 5% CONUS.
